Job Description

The Clinical Coordinator plays a crucial role in the communication workflow with our clients. This position requires great communication, organization, and detail orientation. The ideal candidate will manage and coordinate appointments, ensure seamless communication with clients, maintain an efficient scheduling process, and oversee the infusion clinic coordinators.

Responsibilities

Clinic Coordination:

  • Efficiently schedule clinics based on client/company preferences and availability.
  • Coordinate with internal teams to ensure alignment with business priorities.

Routine Communication:

  • Send routine scheduling communications to clients, including appointment confirmations, reminders, and follow-ups.
  • Respond promptly to client inquiries regarding scheduling matters.
  • Adhere to communication expectations and company workflow.
  • Work in close communication internally with clinical and operations

Calendar Management:

  • Maintain and update calendars with accurate appointment details.
  • Monitor and manage conflicts or scheduling issues, proactively finding solutions.

Client Relationship Management:

  • Build positive relationships with clients through clear and friendly communication.
  • Gather feedback on scheduling processes and implement improvements as needed.

Documentation:

  • Keep detailed records of client appointments and communications.
  • Ensure accuracy and completeness of orders before processing.
  • Collaborate with healthcare providers to clarify any uncertainties or discrepancies.
  • Provide updates on order status and address any client inquiries or concerns.

Adherence to Policies and Procedures:

  • Ensure compliance with company policies and procedures related to scheduling and client communication.

Management:

  • Successfully trains, onboards, and manages the infusion clinic coordinators.
  • Weekly 1:1
  • Quarterly evals

Minimum Qualifications

  • Proven experience in a scheduling or administrative role.
  • Excellent organizational and time-management skills.
  • Strong communication skills, both written and verbal.
  • Proficient in using scheduling software and calendar management tools.
  • Ability to handle multiple tasks simultaneously and prioritize effectively.
  • Customer-focused with a commitment to providing exceptional service.
