Onshore Payroll Assistant

We are seeking a detail-oriented Onshore Payroll Assistant to manage daily payroll operations, employee onboarding, records management, and ensure compliance with payroll regulations. This role involves processing timekeeping data, coordinating with finance teams, handling employee inquiries, and maintaining accurate documentation. The ideal candidate will be highly organized, proficient in payroll systems like Fingercheck, and capable of managing confidential information with accuracy and discretion.

Job Description

We are looking for a dedicated and detail-oriented Payroll to support the day-to-day payroll. The ideal candidate will have a solid background in payroll administration, employee onboarding, and records management, and will ensure accuracy and compliance in all payroll-related functions.

Responsibilities

Payroll & Timekeeping: 

  • Accurately process time entries, adjustments, and payroll data using payroll platforms such as Fingercheck. 
  • Ensure timely and accurate entry of PSL, PVL, ORT, and other adjustments. 
  • Distribute employee pay stubs upon request and respond to payroll-related inquiries. 
  • Review and verify payroll records for discrepancies and ensure compliance with organizational policies. 
  • Coordinate pay increases and ensure proper documentation and system updates. 
  • Complete and submit Payroll-Based Journal (PBJ) reports on a scheduled basis. 

Onboarding & Employee Records: 

  • Manage the new hire process by entering data from Blue Forms into the system. 
  • Verify and update employee tax withholdings (W-4) and direct deposit information. 
  • Assist employees with W-2 and W-4 requests as needed. 
  • Accurately tag employees in the system based on department and role assignments. 

Invoicing & Financial Coordination: 

  • Process and review invoices across both divisions to ensure accuracy and timely submission. 
  • Coordinate with finance and accounting teams to resolve invoice discrepancies or follow-ups. 

Communication & Support: 

  • Respond to a high volume of calls and emails regarding payroll, onboarding, and administrative issues. 
  • Liaise with Operations Managers (OMs) to address payroll-related requests and issues promptly. 
  • Communicate clearly with employees regarding payroll matters, including pay stub distribution and policy explanations. 

Reporting & Documentation: 

  • Maintain organized and up-to-date employee payroll files and documentation. 
  • Complete monthly payroll reports and support audit processes when required. 
  • Provide data and documentation for internal and external reporting needs. 

Compliance & Policy Adherence: 

  • Ensure compliance with federal, state, and company payroll regulations and policies. 
  • Stay current with changes in payroll laws and company procedures. 
  • Participate in training sessions and team meetings as required. 

Additional Duties: 

  • Handle special projects as assigned by partners or leadership. 
  • Provide general administrative support as needed. 
  • Assist in preparing and fulfilling monthly reporting requests

Minimum Qualifications

  • Proficiency with payroll software (e.g., Fingercheck or similar systems). 
  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent communication skills, both written and verbal.
  • High attention to detail and commitment to accuracy. 
  • Ability to handle confidential information with discretion. 
  • Familiarity with payroll-related compliance and reporting standards.
