Order Specialist

Job Description

The Order Specialist is responsible for preparing and processing physician orders, entering accurate patient and order information into the Electronic Medical Record (EMR) system, and coordinating with physicians to obtain timely signatures. This role ensures all documentation is complete, accurate, and compliant with company and regulatory requirements. 

Responsibilities

  • Create and prepare Form 485s and other required patient documentation. 
  • Accurately enter patient, physician, and order information into the Electronic Medical Record (EMR) system. 
  • Review documentation for completeness, accuracy, and compliance with organizational standards. 
  • Submit completed orders and forms to physicians for review and signature. 
  • Monitor the status of outstanding physician orders and signatures. 
  • Conduct timely follow-up with physician offices regarding pending signatures and incomplete documentation. 
  • Maintain accurate records of submitted orders, communications, and follow-up activities. 
  • Communicate professionally with physicians, clinical staff, and internal departments to resolve documentation issues. 
  • Ensure all signed orders are received, processed, and filed appropriately within established timelines. 
  • Assist with audits and reporting by providing documentation and order status updates as needed. 
  • Adhere to HIPAA, privacy, and confidentiality requirements. 

Minimum Qualifications

  • Previous experience in healthcare administration, medical records, home health, or order management preferred. 
  • Knowledge of EMR systems and medical documentation processes. 
  • Strong attention to detail and data entry accuracy. 
  • Excellent organizational and time management skills. 
  • Strong verbal and written communication skills. 
  • Ability to manage multiple priorities and meet deadlines.
